Switching? Your data moves with you.
Owners, tenants, suppliers, units, distribution keys, balances and keys: everything comes over from your old software, checked to the cent. And you're not on your own: we guide every new office personally, the way you want.
The guidance is free and included, even when we visit your office.
Example: exports with owners and suppliers from the old software are read in, the columns are matched, a possible duplicate is decided and everything is imported.
What does the switch get you?
A switch takes time, once. After that you save time, year after year. Fill in your office and see an estimate.
Where that time comes from
- Provision calls
- Purchase invoices
- General assemblies
- Year-end settlements
- Owner questions and emails
- Notary information
Time saved per year

View and change the assumptions
The time for your switch uses these figures. Adjust them to your own office: the result updates right away.
The switch
| Step | Fixed (hours) | Per building (min.) | Your switch |
|---|---|---|---|
| Exports from your old software | 7 h | ||
| Checking the import | 6 h | ||
| Training | 3 h |
This is an estimate, not a promise: the real time depends on your office, your buildings and your old software.
Everything comes over
Five imports, in the order you need them. Each import guides you step by step, and nothing is saved until you click Import.
- 1
Owners, tenants and suppliers
From one or more files at once, including banks, insurers and notaries. Rows about the same party are combined, and names in ALL CAPS become normal names.
- 2
Units
Per building, with their type, owner and tenant. When a unit is on several rows, each with a date, that becomes its ownership history.
- 3
Distribution keys
The shares of every unit per key, as one column per key or one row per unit and key. Keys with shares are never overwritten.
- 4
Opening balances and takeover
The trial balance at the start of a financial year, or a takeover during the year with the provision calls, settlements and cost bookings from your old software.
- 5
Keys
Your key cabinet: front doors, garage doors and letterboxes, with who has a key now and when it is due back.
Read in your browser
Your files are not stored. Only the records you import are saved.
Never a silent duplicate
When a row looks like a party that already exists, you decide: merge, keep or create a second one.
Every import can be undone
As long as nothing builds on it yet, one click removes an import again.
Excel, CSV or JSON
Column names in Dutch, French, German or English are recognised, and your own choices are remembered for the next file.
This is what it looks like
Every import is a short wizard with the same steps: file, columns, review and import. Here they play by themselves.
Units
Units with their owners, past ones too
Upload a building's unit list. Owners and tenants are recognised by their reference in your old software, their enterprise number, email address or name.
- A sale during the year becomes ownership history, with its date
- Units the building already has are completed, never overwritten
- The types in your file become your own unit types
Example: Zonneweelde's units are read in and every owner is recognised.
Distribution keys
The shares per key, from one file
One column per key or one row per unit and key: both work. A column's header becomes the key's name, translated into every language of your team.
- Keys with shares are never overwritten
- Units with a different name in your file are still recognised: A01 is A1
- You see the shares after the import before you confirm
Example: Zonneweelde's shares for three distribution keys are reviewed and imported.
Opening balance or takeover
Your balances, checked to the cent
With a takeover during the year, the first part of the year comes over: the opening balance, the provision calls, the settlements and the cost bookings from your old software. Nothing is posted until every account equals the balance in the old software on the day before the switch.
- Compared per account, per owner and per supplier
- Everything posted in one go, or nothing at all
- The year-end settlement in Syndicbase covers the whole year
Example: a takeover on 1 July; every account is compared with the old software and then everything is posted in one go.
You can switch on any day of the year
You don't have to wait until the financial year ends. Everything up to the switch day comes over from your old software, and from that day you work in Syndicbase. So you move all your buildings on one day, wherever each financial year stands.
Takeover during the year
The first part of the year comes over: opening balance, provision calls, settlements and cost bookings. Nothing is posted until everything is correct to the cent.
One settlement for the whole year
You make the year-end settlement, the year close and the accounts for the general assembly in Syndicbase, over the full financial year.
Or at the turn of the year
If you start with a new financial year, the trial balance after the previous year's close is enough as the opening balance.
We help you personally
Every new office gets personal guidance, free of charge. You choose how much we do for you.
We import for you
You send us the exports from your old software. We put everything into Syndicbase and you check the result.
We do it together
At your office or by screen sharing, we go through the imports together, building by building, and answer your questions right away.
You do it yourself, we're on hand
The imports guide you step by step. If you get stuck somewhere, we look at it with you.
Training for your team
At your office or online, so everyone works with it from day one.
Free and included
The guidance costs nothing extra. It comes with your subscription.
After the switch too
If you still have questions after the start, you can always come to us.
How your switch works
From the first demo to your first day in Syndicbase, in five steps.
- 1
Demo
We show you Syndicbase, at your office or online. Send us an export of one building beforehand and you'll see your own data straight away.
- 2
Exports
You pull the exports from your old software. The checklist below says exactly which ones.
- 3
Import
We do it for you, together or you do it yourself: you choose. You check everything before it is posted.
- 4
Training
Your team learns to work with Syndicbase, on your own buildings.
- 5
Switch day
From that day on you work in Syndicbase, with the whole financial year already in the books.
What do you need from your old software?
With these exports you move everything over. Excel, CSV or JSON, and the columns can have any name.
Contacts
- The owners, with address, email, phone and IBAN
- The tenants
- The suppliers, including banks, insurers and notaries
Per building
- The units, with their type, owner and tenant
- The owners who sold during the year, with the date
- The shares per unit and per distribution key
Accounting, at the turn of the year
- The trial balance after the previous year's close
- The open balances per owner and supplier, if the trial balance only shows totals
Accounting, during the year
- The trial balance at the start of the year
- The trial balance on the day before the switch
- This year's provision calls, per owner if possible
- The settlements already made this year
- This year's cost bookings, for the most accurate settlement
Keys
- Your key list, with who has each key now and until when
One export with all your buildings together is fine too: during the import you pick the right rows for each building.
See your own building in Syndicbase, already during the demo
Send us an export of one building from your old software before the demo. We set it up, so during the demo you see your own owners, units and figures instead of an example.
- Mention it in your demo request and we'll agree on how you send the export
- One building is enough
- We only use your file for your demo and delete it afterwards if you don't go ahead
